USD 261 is a public school district serving students and families across multiple K-12 campuses in Kansas.     HR records were not integrated with the district’s Skyward SIS, requiring dual tracking and manual entry for employee data.

    Paper files consumed valuable storage space and created challenges for long-term record retention and auditing.

USD 261 needed a partner who could not only digitize its archive but also build a structured, scalable system for ongoing employee file management within Skyward.

Project Requirements:

To meet the district’s objectives, IOS needed to address the following requirements:

  • Convert active, inactive, certified, and non-certified employee files to high-resolution digital format.
  • Tag each file with a unique Employee ID for fast, accurate search and retrieval.
  • Organize scanned documents by HR categories such as contracts, licenses, evaluations, transcripts, and certifications.
  • Deliver all files and metadata in a Skyward-compatible format for immediate use within the existing SIS infrastructure.
  • Ensure the entire process maintained strict adherence to data privacy protocols, including FERPA compliance.
